Overview

The Operations Coordinator will be a key support role within the organization. The Operations Coordinator serves as a liaison with all internal departments to ensure timely completion of projects, assists office manager with support projects to achieve continued company enhancement, ensuring Somnia remains a competitive leader in the anesthesia industry.

Ideal candidate will have proven acumen in operations management, as well as commitment to improve communication and collaboration among all departments and team members. Successful candidates will provide servant leadership, possess emotional intelligence by building a team culture that ensures commitment to customer focus, ownership and collaboration.

Responsibilities

  • Works with COO and corporate leadership team to manage assigned projects.
  • Acts as the point of contact among executives, employees, clients and other external partners. Managing information flow in a timely and accurate manner. Managing COO, CLO, CFO and VP of Operations calendars and sets up meetings. 
  • Coordinates strategic initiatives important for company culture and company success while providing strategic counsel on major company decisions.
  • Coordinates employee appreciation and retention initiatives
  • Coordinates Anesthesia Department Policy and Procedure creation, updates and dissemination as well enhanced recovery after surgery protocols, forms creation, etc.
  • Coordinates with VP of Clinical Operations for completion of quarterly site reports and track and trend data follow up. Creates Annual Year End follow up from quarterly site visit reports.
  • Works with On Site Administrators and Corporate Mangers for Employee rounding, tracking and trending ideas and follow up.
  • Coordinates with VP of Operations and VP & Clinical Operations with work schedules and special project support.

 

  • Participates in relative meetings, provides Agendas, records minutes and disseminate to all participants. Responsible for detailed project plans for follow up. 

 

  • Assists and directs the development, automation and maintenance of key indicators and metrics.
  • Develops presentations via PowerPoint, Visio or lucid charts based on project assignments.
  • Provides timely and accurate analysis and necessary communication to enhance project outcomes.
  • Coordinates activities, meetings, and various training programs.
  • Assists Office Manager in support projects to ensure office setup optimizes workflow, processes and office communications. Ensures policies and procedures from corporate are being adhered to
  • Provides administrative support in the preparation of correspondence, reports and confidential materials
  • Resolves issues and troubleshooting in a variety of situations.
  • Performs research on best practices and national benchmarks in the healthcare industry.
  • Plans COO, CLO and CFO priority business trips.
  • Performs other duties and special projects as assigned by COO.

Qualifications

  • Bachelors or master’s degree, preferably in Business or health care
  • Fastidious attention to detail and low tolerance for errors and omissions
  • Ability to work independently with minimal supervision as well in a team environment
  • Skilled at managing multiple projects and grasping new concepts
  • Proficient in extracting data from data sources and is detail-oriented
  • Strong analytical skills to perform complex analyses
  • Possess effective problem-solving skills and a positive "can-do" attitude
  • Advanced knowledge of healthcare industry with emphasis on revenue cycle processes
  • Accurately complete assignments while meeting deadlines
  • Excellent organizational skills

  • IT troubleshooting
