Overview

The Director of Operations is a key support role within the organization. The Director of Operations serves as a liaison between and with all internal departments and the executive suite, namely the COO.  In doing so, they are expected to facilitate, assist, and directly undertake activities and to ensure timely completion of projects. They also will assist the office manager and support operational projects that serve to enhance, streamline, or more formally structure operations so as to ensure Somnia remains a competitive leader in the anesthesia industry.

The Director of Operations will have proven acumen in operations management, as well as commitment to improve communication and collaboration among and between all departments and team members—both those working in headquarters and others working remotely in the field.  A strong collaborative work ethic, a penchant for servant leadership, and keen emotional intelligence that’s puts internal and external customers first is essential.

The Director of Operations must have a clinical background and appreciate that Somnia is a 24-7-365 enterprise with customers, vendors and stakeholders spread over two continents and 5 time zones. RN strongly preferred. 

Responsibilities

  • Works with COO and corporate leadership team to manage assigned projects meaning oversight and coordination of delegation of duties and tasks, reminding participants of deliverables and deadlines, organizing of and preparation for meeting, preparation of agendas and recording of minutes.

 

  • Acts as the point of contact for designated executives, and both manage and organize information so it is stowed, shared and flow in a timely, organized and accurate manner. Information includes, but is not limited to various documents, documentation sets, policies, procedures and protocols.



  • Maintain, manage and oversee regular meetings between designated executive(s) and various constituents, such i) on Site Administrators; ii) Corporate Subordinates; and iii) Clinicians and Clinical Leaders; as well as actively seek debriefings so as to develop, manage and maintain to-do lists.

 

  • Develops presentations to communicate key activity and performance progress using PowerPoint and incorporating Excel (spreadsheets, tables and charts), Visio, Lucidchart, Project Management software reports pertaining to assigned projects; regularly update these presentations to reflect up-to-date, timely and accurate information;  and provide guidance on timelines, scope and resources needed to enhance project outcomes.
  • Assists Office Manager in support projects to ensure office setup optimizes workflow, processes and office communications. Ensure adherence to applicable policies and procedures.

  • Provides administrative support in the preparation and dissemination of correspondence, reports and confidential materials as directed by designated executive(s).

 

  • Reviews corporate protocols and assists recruitment, credentialing, administrators, clinical affairs, operational analytics and quality departments in operational management.
  • Provide ad hoc support to HR and designated executive(s) in areas such as, i) the resolution of conflicts issues and helping to preempt and troubleshooting smaller concerns before they blossom into larger  ones; ii)  managing the schedule for potential candidates and new hires; iii) assist with the onboarding/off boarding of existing employees; and iv)  procure licenses for key executives and ensure that facility and payor credentialing, privileging, and enrolment are completed in a timely and accurate manner.
     
  • At the direction of the designated executive, perform research on various subjects including, without limitation, benchmarks, potential vendors/vendees, accreditation/CMS guidelines, etc. This includes registering on key list servers and receiving, reviewing and reporting on key news, information and activities germane to the company.

  • Prioritizes, plans and adjusts executive(s) priority business trips and being available to make last-minute adjustments and prepare and submit expense reports as well as procure missing receipts, invoices and documents.
  • Performs other duties and special projects as assigned by designated executive(s).

Qualifications

Education

  • RN, PA or similar clinical education, expertise, or training preferred.
  • Bachelors or master’s degree, preferably in Business or Health Care related field, or similar advanced knowledge of healthcare industry, with fluency on various processes/cycle management activities (Revenue, Recruiting, Credentialing, enrollment, etc.)
