 The Scheduling Coordinator will be responsible for efficiently coordinating and scheduling over 70 physician anesthesiologists and Certified Registered Nurse Anesthetists (CRNAs) across multiple operating rooms and anesthetizing locations within our hospital network (5 adult acute care hospitals in the metro Memphis area) using two tools, i) the day-by-day calendar of resources, and ii) the summary of confirmation sheets, if applicable. In today’s demanding anesthesia manpower market, it is imperative the scheduler is organized and experienced with working with permanent and locum’s tenens staffing demands of Anesthesiologist, Certified Registered Nurse Anesthetist and Student Nurse Anesthetist/Residents. It is preferred the scheduler understands care team modeling, site geographic logics, personally performing cases and student/resident MD/CRNA ratio scheduling. 

 Individual shall be responsible for coordinating the daily/monthly schedules of anesthesia providers to ensure adequate interdepartmental anesthesia department coverage for five separate hospitals, accountable for approximately 70 full time equivalents with cardiac, transplant, OB and general OR scheduling.  The ideal candidate is meticulous, detail oriented, and will possess excellent organizational skills, the ability to prioritize tasks, and a strong understanding of anesthesia staffing requirements and considerations.

This role requires onsite presence throughout the hospital network as well as remote work.

Responsibilities

 

Responsibilities of the Scheduling Coordinator:

 

Communication

  • Design, develop, and implement onboarding and orientation programs [“Program”] tailored to
  • Establish relationship & work collaboratively with providers to obtain availability and scheduling preferences.
  • Confirm dates, times, and locations with each clinician on the facility-facing schedule using telephone, email, and text—and document. Logs and confirmations shall be tracked and reported in an auditable report
  • Coordinates with local onsite leadership the clinician case assignments for next day scheduling and disseminates as applicable.
  • Develops reports for senior management to determine sites of service that can be staffed based on number of providers that are available based on models, coverage ratios, students, and compliance requirements.
  • Provide daily scheduling updates to the anesthesia leadership team.
  • Provide support and assistance to anesthesia department staff, facility leadership and others regarding scheduling inquiries and adjustments

 

Creation

  • Create and maintain clinician and administrative vacation schedule.
  • Create a facility-facing schedule, by scheduling physician anesthesiologists and CRNAs to provide anesthesia coverage in operating rooms and other anesthetizing locations across multiple hospitals within the organization, being mindful of coverage grid, overnight call, weekends, and holidays going; when and where necessary adjusting the ratios of MDs, CRNAs, residents and students as indicated to optimize coverage; and being cognizant of specialized coverage needs (cardiac, transplant, neuro, and obstetrics) and compliance with federal, state, facility and departments policies, procedures, protocols, regulations, statutes or By-Laws.
  • Ensure anesthesia providers are appropriately staffed to provide anesthesia coverage at five separate anesthesia hospital locations. Understands the geographic logics of the sites with MD/CRNA coverage ratios that are needed. 
  • Works with recruitment, credentialing, and temporary staffing departments to coordinate and generate schedule at least 30 days in advance.
  • Communicate staffing changes/updates, as needed.
  • Confirms with the clinicians their location site of service for the next day. Logs and confirmations shall be tracked and reported in an auditable report.
  • Projects future staffing needs and coordinates with Departments to obtain, credential, orient and have clinicians in place for staffing the designated sites of service.

Management

  • Coordinate and manage changes to facility-facing schedule based on the moment-to-moment number of operating rooms or anesthetizing locations requiring coverage, staff availability, and other operational needs on a real-time basis as well as troubleshoots scheduling problems.
  • Manage & maintain monthly/daily anesthesia schedules.
  • Ensures adequate cardiac and transplant coverage is in place, based on case allocations.
  • Develop reporting for clinicians to determine case scheduling and work locations.
  • Seeks creative solutions to scheduling problems, both independently and collaboratively
  • Establish relationships & work collaboratively with providers to obtain availability and scheduling preferences.
  • Manage call outs and secure emergency coverage as needed.

 

Temporary Personnel

  • Manages temporary staffing with notice requirements or additional confirms based on permanent staffing needs.
  • Understands locum confirms, requirements and staffs accordingly.

IT

  • Maintain and update the anesthesia scheduling software.
  • Maintain scheduling software system (Qgenda) and ensure said system reconciles with the facility-facing schedule. When appropriate (e.g. when fully staffed) utilize scheduling software or systems to efficiently allocate and notify departmental resources and personnel

 

Compensation/Payroll

  • Manage payroll timecard approval process.
  • Monitor and track bonus pay related to anesthesia staffing.
  • Collaborate with payroll department to ensure payroll is processed accurately.
  • Coordinate HR onboarding and onsite training for new providers.
  • Any other duties and/or special projects as assigned.

 

Qualifications

 

Qualifications for the Scheduling Coordinator:

  • Previous experience in healthcare scheduling, particularly in anesthesia or perioperative services, is highly desirable,
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Staff member must be computer literate and able to operate healthcare system Cerner, Surginet, QGenda and multiple Microsoft Office Applications

 

Job Type: Full-time

Compensation: $50,000 annually

Work Location: Memphis, TN onsite
